How to choose
Buying inventory software as an independent.
- Bring one retail product and one backbar product to the demo. Give each a unique SKU, size, unit of measure, supplier and purchase cost. Ask the vendor to show where retail stock, professional-use stock and opened containers are distinguished. A stock count in bottles cannot quietly become usage in milliliters.
- Run a complete stock movement, including a correction. Receive a delivery, sell one item, record professional use, return a sale and log a damaged item. Check which returns become sellable stock again. Inspect the movement history and who made each adjustment. The end count should reconcile to those events.
- Reorder while an order is already open. Set a minimum and a target, create a supplier order, then receive only part of it. Ask what happens to the outstanding quantity and the next suggested order. Check supplier lead time, pack sizes and minimum order quantities before trusting a suggested purchase.
- Test the boundaries of staff access. A team member may need to count a shelf without permission to change costs or send orders. Test the actual role. For booth renters, establish who owns each product and who pays the supplier. For several sites, test a transfer and reconcile both locations.
- Request an export and a written total. Confirm you can export product identifiers, units, stock levels and movement history in a usable format. Price the software, required plan or add-ons, hardware, onboarding, locations and any payment terms together. Ask which documented connection or export would support your existing tools.
- Pilot one shelf before moving the whole stockroom. Count it physically, agree who records usage, then compare the system with another physical count after a normal working week. Investigate differences before switching off your previous record.
