Start with the operational record
Maintain a product catalog with a stable item identifier, unit of measure, supplier, and stock location. Record deliveries, sales, professional-use consumption, returns, and adjustments separately. A retail sale and an opened professional-use bottle are different stock events.
Agree which resources constrain an appointment: provider, room, chair, device, and cleanup or preparation time. Keep those rules aligned with the booking calendar. For recurring tasks, store an owner, due time, and completion state. Physical counts and checks remain team responsibilities.
Automate the routine, approve the commitment
Rules can raise a low-stock alert or create a recurring checklist. AI can summarize exceptions or draft a supplier message. Neither needs permission to invent usage, silently change a count, or mark a safety check complete.
Separate preparation from commitment. A purchase draft should show quantities, expected cost, and the records behind it. Changing the supplier, increasing the budget, or submitting the order requires the permission you explicitly grant. Keep a history of adjustments and an easy way to pause the workflow.
Connect it to the rest of the salon
Stock affects service availability, product sales affect financial records, and provider schedules affect room demand. Use the same identifiers across those workflows rather than keeping three competing inventories. Verify whether your current platform supports the necessary read and write access before promising automatic synchronization.

Measure whether the day runs better
Record a baseline for stockouts, overdue tasks, time spent preparing supplier orders, and stock adjustments. Review the same measures after rollout. A reduction in admin time is useful, but it is not automatically a cash saving. Product usage must come from recorded movements or clearly labeled estimates.
