CANCELLATION & NO-SHOW POLICY
This template is provided for general information only and is not legal advice. Rules on charging cancellation fees, holding a card on file, and keeping deposits vary by state and country, and card networks set their own requirements for storing and charging cards. Confirm your policy meets the law and your payment processor's rules where your business operates, and have a qualified advisor review it before you rely on it.
At [Salon name], appointments are reserved just for you. When an appointment is missed or cancelled at the last minute, that time cannot be offered to another client. This policy explains the notice we ask for and the fees that may apply, so the terms are clear before you book.
1. NOTICE TO CANCEL OR RESCHEDULE
Please give at least 24 hours' notice to cancel or reschedule an appointment. Notice given at least 24 hours ahead lets us offer the time to someone else, and no fee applies.
2. LATE CANCELLATION
A cancellation or reschedule with less than 24 hours' notice is a late cancellation. A late cancellation may be charged 50% of the price of the reserved service.
3. NO-SHOW
Not arriving for a booked appointment, without notice, is a no-show. A no-show may be charged 100% of the price of the reserved service.
4. ARRIVING LATE
Please arrive on time. If you are more than 15 minutes late we may need to shorten your service so the next client is not delayed, or treat the appointment as a late cancellation if the remaining time is not workable.
5. HOW FEES ARE CHARGED
Any fee is charged using the payment method on file, applied from a deposit, or collected at your next visit, as arranged at booking.
6. EXCEPTIONS
We understand that genuine emergencies and sudden illness happen. Let us know as soon as you can, and fees may be reduced or waived at the salon's discretion.
7. HOW TO CANCEL OR RESCHEDULE
To cancel or reschedule, [how to reach the salon, e.g. call or text the salon, or use the online booking link].
8. AGREEMENT
By booking an appointment you confirm that you have read and agree to this policy.

Late cancellations and no-shows are one of the biggest quiet costs a salon carries. A reserved chair that goes empty at the last minute is time you cannot sell, and it stacks up across a week. A clear, written policy sets expectations before the appointment, so a client knows the notice you need and what happens if they miss it. That protects your revenue without souring the relationship, because the terms were agreed up front rather than sprung after the fact.
Keep it specific and easy to apply. State the notice window in hours, the fee for a late cancellation and for a no-show, whether a deposit holds the booking, and how much grace you give for a late arrival. Post it where clients book, confirm it at booking, and apply it consistently while using judgement for real emergencies. Paired with reminders and a deposit or card on file, a plain policy prevents most missed appointments in the first place.
